Forefront Engineering Pvt. Ltd. ("Forefront Engineering," "we," "our," or "us") maintains a structured, transparent, and integrity-driven approach to sponsorships to ensure that all supported initiatives align with our mission of advancing Nepal's engineering, construction, BIM technology, and digital competency landscape. This Policy outlines the criteria, process, obligations, and expectations associated with requesting and receiving sponsorship from Forefront Engineering. All applicants and sponsored entities are required to adhere to the principles set forth in this document.

Purpose of Sponsorships

  • Forefront Engineering provides sponsorships to support initiatives that strengthen engineering education, promote innovation, advance digital engineering and BIM awareness, empower students and professionals, and contribute positively to Nepal's broader technical community.
  • Sponsorships serve to foster collaboration, enhance industry engagement, and support events or projects that reflect ethical standards, technical excellence, and community development.

Eligibility for Sponsorship

  • Sponsorship requests may be considered from educational institutions, engineering associations, student bodies, academic competitions, conferences, seminars, research projects, community initiatives, and professional development programs.
  • Proposed initiatives must demonstrate clear alignment with engineering, architecture, construction technology, digital transformation, or capacity-building objectives directly relevant to the Nepali AEC sector.
  • Applicants must present a credible track record, transparent objectives, and a responsible organizing team capable of delivering the event or project successfully.

Types of Sponsorship Offered

  • Forefront Engineering may provide financial sponsorship, technical support, engineering expertise, training facilitation, software-related collaboration, resource contributions, or promotional support depending on the nature of the initiative and strategic relevance.
  • The scope, value, and form of sponsorship will be determined solely by Forefront Engineering, based on available resources, expected impact, and alignment with organizational goals.

Submission Requirements and Deadlines

  • All sponsorship applications must be submitted in writing at least six (6) months prior to the expected event or project date to allow adequate time for review, verification, and internal coordination.
  • Applications must include a detailed project or event proposal outlining objectives, target audience, timeline, organizational background, sponsorship expectations, promotional commitments, budget breakdown, and anticipated outcomes.
  • Incomplete applications, late submissions, or proposals lacking sufficient documentation may be declined without review.

Evaluation and Review Process

  • Each sponsorship request undergoes a comprehensive internal evaluation conducted by relevant departments and management.
  • The review considers the initiative's relevance to Forefront Engineering's mission, brand alignment, expected societal or industry impact, organizational credibility, and resource implications.
  • Forefront Engineering may request additional clarifications, supporting documents, or meetings with the organizing team as part of the evaluation process.
  • Approval or rejection decisions will be communicated formally, and Forefront Engineering reserves the right to decline any request at its sole discretion without providing detailed justification.

Conditions of Sponsorship

  • Sponsored parties must conduct all activities in a professional, ethical, and legally compliant manner, ensuring inclusiveness, non-discrimination, and safety throughout the event or initiative.
  • Forefront Engineering must be acknowledged appropriately through agreed-upon branding, promotional materials, digital announcements, media coverage, or event visibility, in accordance with the branding guidelines provided upon approval.
  • Sponsorship support must be used strictly for the purpose stated in the proposal and may not be redirected, altered, or misused without prior written approval.
  • Forefront Engineering reserves the right to withdraw from the sponsorship agreement if any form of misrepresentation, misconduct, financial misuse, or reputational risk is identified.

Reporting and Accountability

  • Sponsored organizations must submit a post-event or post-project completion report within thirty (30) days of conclusion unless otherwise agreed.
  • Reports should summarize event outcomes, audience engagement, fulfillment of sponsorship commitments, financial transparency where applicable, and overall impact relative to expectations.
  • Photographs, media coverage, and evidence of promotional visibility provided to Forefront Engineering may be required as part of the reporting package.
  • All VAT and non-VAT invoices, supporting bills, and financial documentation related to the sponsorship must be submitted to Forefront Engineering within thirty (30) days of event completion for transparency, recordkeeping, and internal auditing purposes.

Use of Forefront Engineering Branding

  • The Forefront Engineering name, logo, or brand assets may not be used without written approval and must follow strict adherence to our branding guidelines.
  • Any unauthorized use, modification, or misrepresentation of Forefront Engineering's identity is strictly prohibited and may result in immediate withdrawal of sponsorship and potential legal action.

Ethical, Legal, and Compliance Requirements

  • Sponsored activities must not involve political campaigning, religious promotion, discriminatory behavior, or any activity that may conflict with Forefront Engineering's ethical principles or Nepalese law.
  • Events must comply with safety standards, government regulations, data protection requirements, and institutional policies.
  • Forefront Engineering maintains a zero-tolerance stance towards corruption, unethical solicitation, or conflict of interest in relation to sponsorships.

Limitations and Discretion

  • Forefront Engineering's sponsorship capacity is limited and subject to internal budgets, strategic priorities, and operational commitments.
  • Approval of a sponsorship request does not create any obligation for future sponsorship or long-term partnership.
  • All decisions regarding sponsorship approvals, modifications, or terminations are final and made at the sole discretion of Forefront Engineering's management.
